What MyIB does

  • Collects DP subject choices (subject, subject group and SL/HL level) from every student online.
  • Validates each combination on submission against the IB structure you configure and your school’s own rules.
  • Shows live counters for every subject level against its minimum group size – to students, teachers and the coordinator alike.
  • Runs the choice window: deadline, automatic reminders, closing and a corrections round.
  • Helps turn choices into option blocks with a what-if simulator and reports clashes.
  • Produces CSV exports, a PDF report for school leadership and an audit log of every change.

Subject catalogue and school rules

  • Your own subject catalogue: each subject can be offered at SL, at HL or at both levels.
  • Separate minimum group sizes for SL and HL of every subject.
  • Subjects are assigned to subject-group slots; one subject can be offered in more than one slot.
  • School rules per slot: “requires” (choosing one subject requires another) and “excludes” (two subjects cannot be combined) – for prerequisites and combinations you cannot timetable or staff.
  • You set exactly how many HL and SL subjects each student must choose, e.g. 3 HL and 3 SL.

More on this: validating DP subject combinations.

Validated choices instead of raw form answers

When a student submits, the server checks the number of HL and SL subjects, duplicate subjects, whether the subject is available at the chosen level and every requires/excludes rule. The student sees a clear message and fixes the choice immediately – you do not have to chase invalid combinations after the deadline.

Live minimum group size counters

Next to every subject level the student sees a counter such as “HL 11/5 – the subject will run” or “SL 3/6 – 3 more students needed”. Teachers and the coordinator see the same numbers. The coordinator’s statistics show how many groups reach their minimum and which are below it, with a “below minimum” filter.

Deadlines, reminders and a corrections round

  • A deadline with a countdown for students.
  • Optional automatic e-mail reminders a set number of days before the deadline (by default 7, 3 and 1) to students whose choice is incomplete or includes a subject level below its minimum.
  • Optional automatic closing at the deadline.
  • Three window states: open, closed and open for corrections. In the corrections round students can only move to subject levels that reach their minimum.

Teachers, tutors and parents

  • Group tutors see their group’s progress – who has submitted a complete choice and who has not started.
  • Teachers comment on an individual student’s choice, so the conversation about the decision stays in one place.
  • Parent accounts are linked to their child and can see the child’s choices.

From subject choices to option blocks

The what-if timetable block simulator works on the real choices. You set the number of option blocks (up to 12) and the maximum class size (20 by default), place subject levels into blocks, offer one subject in several blocks as parallel sections, merge SL and HL into one class and decide whether to include subjects below their minimum.

For every layout MyIB shows which students have a clash, how many students get a clash-free timetable and which pairs of subjects clash in which block. An automatic solver proposes a layout, and you can save several scenarios and compare them. There is no direct export to timetabling software: results leave MyIB as CSV.

Reports and accountability

  • Subject statistics with groups at and below the minimum, exportable to CSV.
  • A PDF report for school leadership with a summary of the choices; the list of students without a complete choice is added only on request.
  • An audit log of choice changes (who changed what and when), filterable and exportable to CSV. Students can see the history of their own choices.

Onboarding: CSV import and invitations

Student, teacher and parent accounts are imported from a CSV file. MyIB first checks the file without saving anything and shows the status of every row; the import is then applied in one all-or-nothing transaction. New users receive an e-mail with a one-time link to set their password, valid for 72 hours.

Security and data protection

The school is the data controller and MyIB processes data on its behalf under a data processing agreement. Traffic is encrypted (HTTPS), passwords are stored as bcrypt hashes, each school’s data is separated on the server, and the application uses no analytics or tracking tools. Good to know before you start

  • The application interface is currently in Polish.
  • Sign-in is by username or e-mail and password; single sign-on is not available.
  • There is no direct integration with school information systems or timetabling software – data leaves MyIB as CSV and PDF exports.
  • MyIB is built for subject choices in the IB Diploma Programme.
